FWC must be able to substantiate that the timing and nature of its expenditures are in accordance with what is stated, expressed, or implied in our solicitations.

Procedure:

1. Whenever a fundraising activity is presented to the Board that includes the purchase of any products or services, the presenter shall include the written documentation that includes a clear explanation disclosing the precise benefits received by FWC.

1. The activity sponsor shall present all solicitation materials to the Board to ensure that the content includes details of benefits to FWC to include the following:

1. The actual or anticipated portion of the purchase price that will benefit  FWC (e.g., $5.00 will be contributed to FWC for every product sold),

1. The duration of the campaign (e.g., the month of October),

1. Any maximum or guaranteed minimum contribution amount (e.g., up to a maximum of $200,000).

1. The Treasurer shall ensure that the representation is accurate and that FWC’s accounting records will be able to confirm the benefits received from the activity. The records will also substantiate that the timing and nature of its expenditures are in accordance with what is stated, expressed, or implied in the solicitation texts.

1. Prior to approval of the activity, the Board shall review all solicitations and informational materials, distributed by any means, and shall ensure that they are accurate and truthful. All solicitations and/or appeals for contributions shall include a clear description of the program(s) for which contributions are sought.

1. The activity sponsor shall provide all promotional materials approved for the activity, including the explanation of benefits to the organization, to the Webmaster.

1. The Webmaster shall post this information on the FWC website.

1. FWC has no commercial affiliation with any profit-making organization.  FWC Directors receive no compensation for services or expenses involved with FWC Projects; and, they have no commercial affiliation with Faith Works or with any organization that profits from Faith Works projects.
2. FWC does not share, sell, trade, or rent any personal or financial data to any organization or affiliate for any reason.
3. FWC limits access of donor information to those who have a financial need to know.
4. Donor data is used in confidence by the Finance Committee for banking and accounting purposes.
5. The secretary prepares IRS required letters of acknowledgement for all donors; individuals and organizations.
6. The annual IRS Form 990, Income Tax Return for Non-profit Organizations” requires a list of private donors and organizations whose contributions exceed $2,000.00.  However, this disclosure will not be made public in the annual report as posted to the organization’s Internet website.
7. Personal data obtained from Project Application and Nomination forms, and personal interviews are not disclosed to public; and, at the request of the applicant, will be returned or destroyed upon completion of the application process. No personal records are maintained in the Board minutes, only the decision whether the project was approved or disapproved.
8. FWC will not use Internet cookies or related technology for monitoring personally identifiable information from Internet visitors to the FWC website.
